Installation

The full suite of DataViewer products are developed so that they can be tailored at the time of installation without any modification to the actual software code.

Below is a list of a few of the things you can do when designing a DataViewer system:

  • Create unique indexing identifiers for categorisation and indexing of various document types.
  • Identify the type of database field (i.e., text, lookup, date, memo, etc.) to control input and eliminate user error.
  • Have an unlimited number of database fields.
  • Establish which fields are mandatory.
  • Establish which fields are displayed on which user profile templates.
  • Establish which fields are editable by which user profile level.
  • Establish document access and menu security rights.
  • Establish what process macros (i.e., Check In, Check Out, Revise, Approve, etc.) are to be available.
  • Search and retrieve documents based upon any combination of these categorisation/index values.

Distribution and Exporting

DataViewer provides flexibility when it comes to distributing individual, groups or sets of documents. Some of the more popular methods are summarised as follows:

Transmittals

Distribute documents with complete history. Document and Drawing packages can be sent out via email, FTP, or printed. A PDF transmittal cover sheet is generated automatically and included with the email.

  • Generating a formal Transmittal with selected documents as attachments and forwarding (via email or printed output) to recipient(s)
  • Emailing the actual document files to recipient(s)
  • Emailing electronic links to the documents to recipient(s)
  • Printing documents and distributing to recipient(s)
  • Exporting and/or archiving to other media
  • Converting sets of documents to .DWF or .PDF
  • Compressing the transmittal set of documents into a single zip file

Binding

Prepare packages of documents and drawings and select the many options available such as binding the Drawing xRef prior to sending them out via the DataViewer automated transmittal feature.

Using DataViewer search capabilities, the user inputs their particular search criteria. DataViewer returns a listing of the documents found and allows the user to tag those documents they wish to distribute. Then the user selects the appropriate DataViewer distribution option (like one of those noted above).

Email Links or the Document

Email a Link to other DataViewer Users

DataViewer has an innate ability to send links to files in DataViewer without the need to send the actual files. Increased document security reduces network traffic and reduces space needed to store multiple copies of a document.
Two different types of links can be created. The DVL file is used to launch the desktop interface for DataViewer a web link can also be created that will launch Dv Web.
The recipient will receive an email with a small attachment (DVL Link) and a Dv Web URL link, which when clicked will open DataViewer with the documents that you would like to be viewed. The email recipient must have DataViewer or access to the Web version of DataViewer.

Reporting

Customisable using our internal report writer or Crystal Reports. Report on any combination of database fields and calculate operations in the DataViewer database. Standard reports include Audit History, List Results, Workflow Status, and more. Customised reports can be designed for percent complete or any document related reports currently generated by your organisation.

Easily identify and manage AutoCAD and MicroStation drawings with their associated reference files and the location of the xRefs.modification to the actual software code.
